Refund & Cancellation Policy

1. Cancellation Policy

Because the RCG NexaCore platform and our dedicated RCM teams require continuous server allocation, specialized API maintenance, and customized AI training, all client partnerships operate strictly on an Annual (12-Month) Commitment.

Early cancellation prior to the completion of the 12-month term is not permitted. Upon completion of the initial 12-month term, clients may cancel services or prevent auto-renewal by providing a mandatory 60-day written notice to our billing department. This notice period allows our team to complete pending claims, finalize aging reports, and securely offboard data.

2. Refund Policy

RevCycleGenius operates on a strict advance service-retainer and technology-licensing model. As such:

No Refunds on Retainers & Setup Fees: One-time implementation fees and monthly retainer fees paid are strictly non-refundable once the billing cycle or infrastructure setup has commenced.
Service Continuity: Due to the nature of our technology-enabled services, partial month refunds or pro-rated refunds for unused days are not issued.
Dispute Resolution: If you believe there is a mathematical error in your invoice, please contact the Billing Department at billing@revcyclegenius.work within 5 business days of the invoice date for review.
